How do I set up user access for Virtual Terminal?

By default, Virtual Terminal is set up for a single user to process transactions. However, you can give multiple users secondary access so they can process transactions using Virtual Terminal. Only the account owner can change secondary users’ access privileges. To grant an existing secondary user access to the Virtual Terminal:

  1. Log in to your PayPal business account and go to Manage Users (live) or Sandbox.
  2. Click on the User ID you want to grant the permission to.
  3. Click Permissions on the left menu then Add Permissions.
  4. Check the box next to Virtual terminal for offline sales and click Continue.
  5. You’ll be taken to the previous screen with a banner: Permissions updated successfully.

If you’re adding a new user, once you fill out the initial new user setup (name, email, ID, password, etc.), the permission checklist will appear automatically, as noted above (step 4).

Revoking Virtual Terminal user access

For security reasons, you may need to revoke a secondary user's access to Virtual Terminal. Here's how:

  1. Log in to your PayPal business and go to Manage Users.
  2. For the desired user, click on the three dots under Actions > View profile.
  3. Click Permissions on the left menu.
  4. Click on the three dots next to Virtual terminal for offline sales > Remove Permission.
  5. A banner will appear: Permissions updated successfully.

Once you revoke access privileges, the user can no longer use Virtual Terminal or process Virtual Terminal Transactions.
